This Privacy Policy explains how MentorVault Services Sdn. Bhd. ("MentorVault", "we", "us") handles personal data collected through the website mentorvault.help and in the course of providing cleaning services. We process personal data in accordance with Malaysia's Personal Data Protection Act 2010 (PDPA).
1. Data We Collect
We collect only the data needed to respond to enquiries and deliver our services:
- Contact details you submit through our forms or by phone: name, phone number and, optionally, email address.
- Job details you choose to share: property type, address, access instructions and cleaning requirements.
- Technical data generated when you browse this site, such as IP address, browser type and pages visited, where you have consented to non-essential cookies.
2. How We Use It
Personal data is used to prepare quotes, schedule and perform cleaning visits, communicate about bookings, maintain service records required for our quality guarantee, and meet legal obligations such as tax record-keeping. We do not use your data for automated decision-making, and we do not sell it to anyone.
3. Sharing
Data is shared only with: (a) our own vetted staff who need it to perform your booking; (b) service providers who support our operations (for example, hosting), bound by confidentiality; and (c) authorities where disclosure is required by Malaysian law. We do not transfer personal data outside Malaysia except where our hosting infrastructure requires it, and then only with appropriate safeguards.
4. Retention
Enquiry data that does not lead to a booking is deleted within 12 months. Service and billing records are retained for 7 years to satisfy statutory requirements, then securely destroyed.
5. Security
We restrict access to personal data to staff who need it, protect our systems with access controls and encryption in transit, and require crew members to sign confidentiality undertakings covering anything they see or learn at a client's premises.
6. Your Rights
